Frequently Asked Questions
What is an academic evaluation, and where can I get one?
An academic evaluation is a document that lists all courses required for your degree program, based on your catalog year. An official academic evaluation identifies courses already completed and those still to be taken. You may through ERNIE. Click the Student Services tab in the top right corner, then select the Office of the Registrar, and then click the X under the online heading for Academic Evaluation. Please allow up to 30 days for your evaluation to be updated.
When will my course substitution be applied?
Speak with your program coordinator regarding course substitutions. Course subs are not guaranteed and should be obtained prior to enrollment. Course substitutions must be approved in writing and submitted to the Office of the Registrar before they will be reflected on your academic record.
If your course substitution was submitted after you received your degree completion evaluation, it will be applied during the next evaluation.
If your course substitution was submitted prior to your graduation application and is not showing on your degree completion evaluation, contact your graduation evaluator to ensure receipt.
Course subs will only show if the course has been completed and graded.
How can I change my name in my student records?
Currently enrolled students may request a change in legal name using the Change of Bio-Demographic Information Form. The written request must include copies of official, original or certified documentation.
I don’t want any personal or academic information released without my consent. What do I do?
To withhold the release of directory and other personal or academic information, submit a Disclosure of Student Directory Information Action Form.
I need to withdraw from school. What should I do, and will I get a refund?
Students who leave the University for any reason must conduct an exit interview, and officially process a withdrawal clearance through their academic advisor or the Office of Registrar. When a student withdraws from the University after the end of the semester/term scheduled withdrawal period and before the end of semester/term, a WF grade will be assigned for all courses in which the student is enrolled. In exceptional cases, such as medical emergency, death in the family, military duty, or other extenuating circumstances, students who have withdrawn from a course or from the University after the withdrawal period may petition the appropriate campus Dean or designee within 30 days to receive a grade of W. Refund eligibility depends on the date of withdrawal, as published on the academic calendar.
I want information concerning my record, including grades, released to another person. What should I do?
If a student would like information from their record (including grades) released to another person, access must be granted through the Auxiliary Access process in s.
Where do I find information regarding commencement?
Commencement information is posted in Office of Registrar's ERNIE site. You can find campus specific pages below.
What qualifies as a full-time undergraduate student status?
A residential campus undergraduate student attempting a minimum of 12 credit hours during the fall or spring semesters is considered a full-time student. For summer, 6 credit hours constitutes full-time enrollment.
A WW campus undergraduate student attempting a minimum of 6 credit hours per term is considered a full-time student.
Do I need approval to register?
After meeting their advisor, a student can register themselves for classes. For more information regarding advisement and registration policies, please contact your academic advisor.
I haven’t registered for a class in 12 months. Can I return to ERAU next semester?
Yes. Students are considered to be continuously enrolled, regardless of the number of hours for which they register, unless they enroll at another institution without advance approval or fail to enroll in at least one course at ERAU within any one to two-year period after the last term of attendance. A student who has lost continuing student status must re-apply to the University.
I want to take a course at another institution. What should I do?
Once admitted to the University as degree candidates, students are expected to complete all coursework toward their degree at ݮƵ unless advance written authorization is granted. Students in good academic standing who wish to take courses or training, including flight instruction, outside the University while maintaining enrollment must petition in advance. To initiate this process, students must submit the appropriate petition form and provide evidence that the requested courses are equivalent to Embry-Riddle courses or acceptable as elective credit in their degree program. Approval is determined by the Office of the Registrar and the relevant academic department. Courses taken at another institution will not replace grades earned in Embry-Riddle courses. Students may not co-enroll at another institution while enrolled at Embry-Riddle.
Students applying prior academic work toward their Embry-Riddle degree program requirements must submit appropriate documentation for such credit as part of the admission process. Previous academic credit is evaluated on a course-by-course basis, and acceptable transfer work will be recorded on the Embry-Riddle transcript. Embry-Riddle does not accept life-experience credit toward degree completion.
I am an international student. How many credits do I need to take?
Federal Government regulations require all international students to be full-time for each semester (Spring-Fall). Undergraduate full time course load is 12 credits. Graduate full time course load is 6 credits. If it is your last semester you do not need to be full-time. That is the only exception to the regulation. Auditing a class is only permissible if it does not bring you below full-time status.
Students beginning their first term in summer are required to take 6 credits.
When should I apply for graduation?
You should apply for graduation at least one semester/term prior to your expected degree completion semester/term. Degree completion evaluations may take 2-4 weeks to be returned to you during high-volume times, such as the start of the semester.
Graduation application status – what does it mean?
- Approved: Based on your current enrollment and GPA, you are eligible for degree completion upon the successful completion of your remaining requirements
- In Review: You are not currently eligible. This may be due to one of the following reasons: you are not enrolled in all of your remaining requirements, your GPA is below the minimum requirement, you are registered in a term after your declared completion term, etc. Your status will be re-evaluated during the term in which you anticipate completion.
- Denied: You do not currently meet the requirements for degree completion.
What do I need to do if my graduation application is “in review”?
Meet with your academic advisor to determine remaining requirements.
I want to find out if I am ready to graduate. What do I need to do?
To be eligible to apply for graduation you must be within 30 credit hours of degree completion if an undergraduate student, and within 15 credit hours of degree completion if a graduate student.
Where do I find the deadline dates to turn in my graduation application?
Deadlines are posted on the Prospective Graduate page of the course schedule book, which is printed for each academic term.
I graduated but did not receive my diploma.
Diplomas will be mailed approximately 4 to 6 weeks after graduation. Please ensure that your CS Student Center has your valid diploma mailing address. Please note that diplomas are held for financial obligations to the University as well as incomplete academic requirements.
